Portugal Madeira Sydney Social and Cultural Sports Club Limited collects data from members and visitors through its website, located at: “https://portugalmadeiraclub.com.au“ and known as the Portugal Madeira Club website.

The data collected is provided by the each website visit. The type of data collected depends on the type of visitor and on the type of website functionality that the visitor uses.

What personal data we collect and why we collect it

Portugal Madeira Club website collects data from members and visitors, such as names, date of births, addresses, contact details and comments typed into our webpages.

The reasons why the Portugal Madeira Club website collects personal data are:

  2. To allow you to contact the Club’s Secretary directly.
  3. To allow you to contact the Club’s Office after hours 24/7.
  4. To allow you to place requests to the Office after hours 24/7.
  5. To allow you to purchase products and services from us on our website.
  6. To be able to contact you later.
  7. To comply with the Australian Legislation.
  8. To comply with the New South Wales Legislation.
  9. To comply with the Registered Clubs requirements.
  10. To improve website responsiveness across all types of devices.
  11. To let you tell us what you think about our website’s published content.

The Portugal Madeira Club website does not collect, nor does it keep any personal financial data at all, such as credit card details.

What types personal data we collect

The Portugal Madeira Club website can collect up to seven different types of data from its visitors. Most of the personal data collected via digital forms is forwarded to the Portugal Madeira Club Office as soon as submitted by the visitor.

Other personal data collected by the website such as comments and user postings are kept by this website and belong to the individual that contributed it.

  1. Members personal information

    1. The Portugal Madeira Club website collects personal information from its members on behalf of the Portugal Madeira Club as required by the Australian Legislation. This personal information is used to verify the identification of each member entering our clubhouse facilities and to contact any member by their favorite communication method.  
    2. Members personal data is also used to print the Portugal Madeira Club Members Card which includes a personal photo and is always required to be carried by each member while inside the clubhouse facilities.  Members personal data also includes each member’s personal emergency contact details to be used only in case of a member being involved in an emergency while attending our clubhouse.
    3. The members personal data collected by this website is sent securely to the office of the Portugal Madeira Club where it is stored inside a specific computer that uses a custom-built members database application.

  2. Cookies

    1. If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

    2. If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

    3. When you log in, we will also set up several cookies to save your login information and your screen display choices.   4. Digital Forms

    1. Some webpages of this website include digital forms on which visitors can type information and upload content. The data is collected for the purpose of contacting our office personnel and lodging office requests at any time of the day or night. Each digital form collects different data according to its type of request:

      1. Notify the Secretary   {Name, email, phone, address, short message and member ID}
      2. Contact us                   {Name, email, phone and short message}
      3. Apply for work            {Name, email, phone, resume}
      4. Sponsor the Club        {Name, email, phone, website, short message and ABN}
      5. Join SMS Group           {Name, phone number, member ID}
    2. The data collected by each digital form will also include the Visitor’s IP address and the browser user agent string to help spam detection.

  5. Media Content

    1. Some of our digital forms allow users to upload media (documents and images) to this website.

    2. If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

  6. Embbeded content from other websites

    1. Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

    2. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. Some of our webpages may contain embedded content form of our social media page on Facebook.

  7. Email

    1. All data transmitted between the Portugal Madeira Club website and the Portugal Madeira Club email service does not travel through the internet at all. Office personnel access their Portugal Madeira Club email boxes via the internet from their office desktops and mobile devices.

    2. Current business insurance policy requires that all users connected to the Portugal Madeira Club email service use encrypted connections when using/accessing their own email boxes.

    3. The connections between the email service and our office computers’ email applications are encrypted and comply with that policy.

    4. The connections between the email service and the personal mobile devices’ email apps is also encrypted as per IT directives.

    5. However, the responsibility for each of these personal mobile connections is the sole responsibility of each email box user.

Who we share your data with

The personal user’s data collect by this website is not sold, nor is it shared by us with third-party companies.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Uploaded resumes from users that apply to work with us and are not successful, will be deleted once the employment vacancy has been filled. Resumes of successful applicants will be kept by our office together with employee’s data file as per HR management requirements.

Where we send your data

Visitor comments which are posted on this website are protected by Akismet Anti-Spam service. Its privacy policy is available here: “https://automattic.com/privacy”. Some comments left on this website may be sent to the Askimet Anti-Spam service for processing.

Personal data collected by digital forms inside our webpages will be sent to the Portugal Madeira Club office only. This data is sent from this website to our email service where it stays until collected by the Portugal Madeira Club office personnel via email applications using encrypted connections.

What rights you have over your data

If you are a registered user of this website, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.

Requests should be sent by email to: webmaster@portugalmadeiraclub.com.au.   

You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
